Rental Space Guidelines

Please note that the information contained herein are the general guidelines and requirements included on most facility rental agreements we execute. Each individual event/booking shall have a specific agreement drawn up that will reflect the elements and requirements for each unique event.

Event Coordinator Details

The RSC Event Services will assist you in making your event possible at the Rhatigan Student Center. If you need assistance during your event, please contact any of the following numbers below:

Please look over your confirmation details for any mistakes or changes that need to be made and contact RSC Event Services at your earliest convenience.

Contact Person

The primary contact (Guest) will provide RSC Event Services with the name, email address, and phone number of the Guest's representative. The representative will be the sole person authorized to make changes to the event reservation.

Rental Fees

Please see the individual spaces chart for the rates of each room or location. Your rental fee includes the time allotted at the beginning and the end of the event for set ups and clean up.

If you would like to decorate the day before, your event rooms will be billed at half the room rental rate.

Event Times

All reservations made through RSC Event Services include additional setup time before and after your event.

Please note, that if additional time (over operating hours set by RSC Event Services) is needed, there will be additional incurred charges. Any events exceeding scheduled hours will be billed at $100 per hour.

Event Details/Set Ups

Set up notes for room reservations must be provided to your event coordinator at a minimum of one (1) month in advance. Receiving your set up notes in a timely manner will allow us the opportunity to coordinate our services in preparation for your event.

Services Provided

All rentals include set up of tables, chairs, audio/visual equipment, staging, and coat racks where requested.

The Rhatigan Student Center has portable bars for drink service available for an additional fee.

Cancellations, Changes, and Rescheduling

The Rhatigan Student Center will make every effort to assist you with changes and rescheduling of your event. Please be advised that in the event your wedding has been canceled, any fees paid in advance will be refunded. However, your security deposit is non-refundable.

Security

The Rhatigan Student Center requires the presence of a ΊμΑμ½νΉΟ±¨ police officer at all weddings. The cost of contracting a WSU police officer is included in your rental agreement.

Insurance

Clients must purchase liability insurance for events scheduled in the Rhatigan Student Center.

A Certificate of Insurance provides proof to a third party that an individual has adequate insurance coverage.

An "Additional Named Insured" does not give access to your insurance policy, but reduces liability. Please have your insurance company add the following information under Additional Named Insured:

  • ΊμΑμ½νΉΟ±¨ and ΊμΑμ½νΉΟ±¨ Union Corporation

You may contact your insurance company for a certificate of liability.

Decorations

You may decorate prior to your event. The Rhatigan Student Center allots a certain amount of time for preparations prior to and after the event has ended. If you need additional time to decorate, please contact your event coordinator for available times and any charges that may be incurred.

The Rhatigan Student Center encourages decorations; however, please note the following:

  • In accordance with state fire code, open candles are prohibited
  • The use of glitter is prohibited
  • Nothing is to be tacked, pinned, nailed, glued, or taped on any surface or walls of the venue
  • Do not hang decorations from the ceiling

Tables and chairs will be provided with your rental.

The Beggs Ballroom is equipped with a sound system; however, it is not designed to play music effectively. If you choose to have music at your event, please contact a DJ of your choice who will be able to provide the appropriate equipment.

Cleaning

All guests will be responsible for returning the space to its original condition when an event is completed. Any decorations and equipment belonging to the guest or to a vendor associated with the event must be removed immediately following the event.

The Rhatigan Student Center is not responsible for lost items and will not be able to provide additional storage space, outside of the packages you have chosen.

Although housekeeping costs are included in your rental, please be aware that any additional clean-up services required during or following your event may be incurred.

Parking

During the fall and spring semesters, ΊμΑμ½νΉΟ±¨'s main campus is a permit-only parking environment on weekdays when the university is open for business. Visitors to the university may park without a permit for three (3) calendar days during each semester. Visitors may park in lots marked with prominent "V" signage. Please avoid parking in red parking lots.

Parking in our Parking Garage by the Rhatigan Student Center is available at an hourly rate. Levels 2, 3, 4 and second and third ramps are hourly parking at $1.50 per hour. Ground level and first ramp is reserved. The parking garage is enforced 24 hours a day, seven days a week. Your event coordinator can provide you with an access code for the RSC Parking Garage. The access code will allow your guests to park at no cost to them. Following your event, you will be billed at $1.50 per hour for guests who utilized the RSC Parking Garage.

Parking lots on the the perimeter of the campus are available for large events that require additional space. You can work with your event coordinator to request reserved parking.

Damages

In the event that there are damages to the Rhatigan Student Center's property or equipment by a guest or patron, the cost of the repair and replacing the damaged property may be charged to the client.

Audio/Visual Equipment

The Beggs Ballroom in the Rhatigan Student Center is equipped with audio/visual capability; however, the equipment is designed for presentation purposes. Guests interested in playing music for their event should contact a DJ to provide the appropriate equipment.

Any audio/visual equipment provided by the Rhatigan Student Center should be left in the room and will be picked up by a Building Manager following your event.

Catering/Dining Services

University Dining Services (or Chartwells) is the premier dining services partner at ΊμΑμ½νΉΟ±¨. Chartwells is a full-service caterer and provides a wide variety menu of options including boxed lunches, hor d'oeuvres, buffets plated dinners, desserts, linens, china service, floral, and bartending service. The university also offers flexible catering options to assist you with designing the perfect menu for your event. You may bring in an external caterer from our list of approved caterers, which continues to be updated frequently. If you plan to use a catering company that is not on our approved catering list, then you can encourage them to submit an Approved Caterer Application form prior to your event. This form will allow them to be part of our approved caterers to serve food on ΊμΑμ½νΉΟ±¨'s premises. Learn more about our catering options.

Note: Customers choosing an off-campus caterer for their event must have all food service containers and disposable items removed immediately following their event. Failure to clean up after the event will result in a service charge for cleaning.

Alcohol Service

Under ΊμΑμ½νΉΟ±¨'s Policies and Procedures 11.07 / Sale, Service, And Consumption Of Alcohol On University Premises, requests for alcohol service must be approved by the WSU General Counsel prior to the date of the event. The service of alcohol without prior approval is prohibited.

Approval is obtained by completing the following instructions at least 2-3 weeks in advance:

  • Notify your event coordinator of your request
  • Complete and submit the Alcohol Request form
  • Off-campus guests must provide proof of liability insurance at the time the request is submitted

Note: Alcohol service requires a licensed bartender and that bartender must be present throughout the event.
